Privacy Policy

Last updated: TODO: insert date before publishing. This policy applies to the Field to Quote web dashboard and mobile apps, operated by One Store Labs.

1. Who we are

Field to Quote is developed and operated by One Store Labs ("we", "us", "our"). This policy describes how we handle information when you use the Field to Quote web dashboard and mobile applications.

2. Information we collect

We aim to collect only the information needed to operate and improve the service. Depending on how you use Field to Quote, we may collect:

  • Account information – such as your email address, password (stored using industry‑standard hashing), and basic profile details.
  • Company and configuration data – such as your business name, logo, contact details, labour rate, margins, material markup, and tax settings.
  • Job and quote data – such as client names, addresses, job descriptions, photos you upload, voice notes or audio you record, generated quotes, and exported PDFs.
  • Subscription and billing metadata – such as a subscription status, product identifiers, and transaction references from our payment providers (we do not store full payment card numbers).
  • Usage and device information – such as log data, approximate location (when you use "use my location" in the app), and basic device information used to keep the service secure and reliable.

3. How we use information

We use the information we collect to:

  • Provide, maintain, and improve the Field to Quote service.
  • Generate, store, and deliver job quotes and PDF documents based on your inputs.
  • Verify and manage subscriptions, free trials, and in‑app purchases.
  • Communicate with you about your account, support requests, and important updates.
  • Protect against fraud, abuse, and security risks, and to comply with legal obligations.

4. Legal bases for processing

Where required by applicable law, we rely on one or more of the following legal bases:

  • Performance of a contract (for example, to provide the service you signed up for).
  • Legitimate interests (for example, to keep the service secure and improve it over time).
  • Your consent (for example, for certain analytics or marketing communications, where applicable).

5. Data retention

We retain information for as long as necessary to provide the service, comply with our legal obligations, resolve disputes, and enforce our agreements. In general:

  • Account and configuration data are retained while your account is active.
  • Job and quote data may be retained so you can access your quote history, subject to storage and legal requirements.
  • Subscription metadata is retained as necessary for accounting and compliance purposes.

TODO: update this section if you adopt a specific retention schedule (for example, deleting inactive accounts after a defined period).

6. Third‑party services

We may use third‑party services to operate the app. Depending on your configuration, this can include:

  • Cloud hosting providers for our servers and databases (for example, a cloud platform where the Field to Quote API runs).
  • Payment and subscription providers for web subscriptions (for example, Stripe or Lemon Squeezy) and the Google Play Store / Apple App Store for in‑app purchases.
  • Email providers for sending notifications or quote emails to your customers.
  • Analytics and logging tools to understand aggregate usage and keep the service reliable (configured, where possible, to minimize personal data).

These providers act as processors or independent controllers of data, depending on the service. We aim to work only with reputable providers that use security practices consistent with our own.

7. Data sharing

We do not sell your personal information. We may share information:

  • With service providers that help us operate the app (as described above).
  • When required by law, legal process, or government request, where we believe disclosure is necessary to comply with obligations or protect our rights and users.
  • In connection with a merger, acquisition, or sale of assets, where permitted by law, in which case we will take reasonable steps to notify you.

8. Security

We use reasonable technical and organizational measures to protect information, including:

  • Encrypting data in transit using HTTPS.
  • Limiting access to production systems to authorized personnel.
  • Using authentication, logging, and other controls to help detect and mitigate abuse.

No system can be perfectly secure, and we cannot guarantee absolute security. You are responsible for keeping your account credentials safe and notifying us if you believe your account has been compromised.

9. Children, health, and government use

Field to Quote is intended for use by adults in a business context, not by children.

  • The app is not designed for children under the age required by local law, and we do not knowingly collect personal information from children.
  • The app is not a health or medical application and is not intended for diagnosis, treatment, or any medical use.
  • The app is not an official government or government‑affiliated app.

10. Your rights

Depending on your location, you may have rights regarding your personal information, such as the right to access, correct, or delete your data, or to object to or restrict certain processing.

To exercise these rights, contact us using the email address below. We may need to verify your identity before responding to your request.
